Why We’re Doing This

During COVID, we launched Scribe for Education. The systems broke, and students needed access to materials more than ever. Today, things look different. But the pressure is still there. Support systems are less predictable. Resources are tighter. Expectations haven’t changed. Blind students still need access every single day. This program exists to make sure they get it.

We’re part of this community. Being visually impaired ourselves and having benefitted from the work TVIs put into readying course material for students, we understand the work that remains ever-present to this day. We built this to reduce the workload pressure on teachers, thus ensuring blind students are not affected by delays, overwhelmed systems, or anything else happening around them. Students need access. You make it happen. We’re here to support you.

  • Role verification from a supervisor during registration

What does the registration process involve?

The registration process is designed to be as quick and painless as possible, both for you and your superviser. Here’s a quick breakdown:

  1. Fill out this short registration form.
    • Be sure to use your school or district-issued email when filling out this form.
    • Be sure to give us an active method of contact for your supervisor, as they will be asked to verify your status as an active TVI.
  2. After filling out the form, you will receive an email asking you to verify your email address. Simply follow the link in the email.
  3. Your supervisor will then receive an email asking them to verify your status as an active TVI.
  4. Once we receive verification from your supervisor, we will process your application and send you an email with instructions on how to access your free account.
Are my students required to verify their print disability?

Not at all. While there are a fair few accessible content services that do require medical proof of disability, that is usually due to the fact that they are distributing prepared accessible copies of already-existing material, I.E. books and periodicals. Given that Scribe, by contrast, is a service designed for converting documents into accessible formats on the fly, we are not legally required to verify this information. We merely require supervisor verification of your status as an active TVI to ensure that the no-cost offer is reserved for TVIs specifically.

Does Scribe produce fully remediated documents?

Scribe uses its Augmented Document Remediation technology to deliver highly accurate accessible documents with a 96% average accuracy, eliminating the need for human remediation in most cases. Print-disabled individuals can access information in seconds. For those aiming for 99% accuracy, certified human remediation is available for $10 per page, reducing both cost and time when using Scribe-generated documents as the source.

How can documents be made available to my students?

Once you choose the accessible format that suits the student’s assistive technology, the resulting Documents can be emailed to your students, placed on a flash drive for use in an NLS digital talking book player, or the like. Your students are not required to register or log into a Scribe account in order to read these documents. If the document needs to be produced in Braille, the output from Scribe can even be fed directly to any embosser capable of printing files directly stored on a flash drive.

How would my students read documents made accessible with Scribe?

Scribe generates accessible documents compatible with a wide range of assistive technologies, including screen readers, magnification software, Braille notetakers, displays, digital talking book players, printers, and more. This ensures your students can access information using the tools that best fit their needs and preferences. What’s more, your students are not required to obtain a Scribe account in order to read their documents.

When my students receive digital textbooks from Learning Ally, they always get asked for a pin-code by their DAISY player. Are there any special provisions for talking books I prepare through Scribe?

Good news: None at all! Scribe does not utilize any copy protection whatsoever when preparing digital talking books. As such, there are no special player authorization procedures, pin-codes to remember, or potential player incompatibility issues to worry about. Any digital talking books you prepare for your students will remain playable on any DAISY-capable player they obtain, now and into the future.

Why does the remediated .PDF look like the original but all the other formats look different visually?

If your document looks different after being processed by Scribe, it’s because Scribe optimizes the layout for accessibility, allowing users to adjust font styles, sizes, and colors for better readability. However, Scribe’s PDF output aims to preserve the document’s original appearance while meeting accessibility standards. If you notice discrepancies in the PDF, please let us know so we can improve its accuracy and consistency.

How long does it take to Scribe a document?

Scribe conversion times vary by scenario:

  • If you opt for a conversion into Word, HTML, EPUB, etc. then your document will convert in seconds with a single click.
  • DAISY audio may take slightly longer due to the human-sounding text-to-speech generation. That said, even large documents should take no more than ten minutes.
  • In either case, you are always guaranteed a same-day turnaround.
What if we are requested to provide a fully remediated document?

Scribe’s Augmented Document Remediation (ADR) technology delivers 96% accuracy on average, with ongoing improvements toward 100% automation. IN most cases, this results in full readability without the need for dedicated human remediation. When certified human remediation is needed, we offer it for $10 per page, providing a cost-effective solution that aligns with your organization’s budget and goals.

Is Scribe available in languages other than English?

Scribe supports over 140 languages, offering text-to-speech in a dozen languages and braille in 30+ formats. While it’s not a translation service, it converts documents in their original language, preserving formatting and accessibility features. Contact us to confirm if your language is supported.

Are there any on-going maintenance requirements?

we require a short yearly re-verification process. About 60 days before your renewal date, you’ll receive an email with instructions so you’ll have plenty of time to complete the process without interruption. This will ensure a seamless experience, so you can focus on delivering accessible documents without ongoing upkeep.

Are documents safe to process in the cloud?

At Pneuma Solutions, security is a top priority. We ensure your documents are safe with high-grade end-to-end encryption, trusted by banks and government institutions, and VPN technology to secure all data transfers. These measures guarantee the protection of your documents throughout the processing and delivery process.

Does Pneuma Solutions keep any source or alternative format documents processed by Scribe?

Pneuma Solutions does not store source or alternative format documents long-term; any document retention is always on your terms. We allow for configurable retention with a definite expiration date (between 1 to 30 days), or the option of an indefinite retention. You can adjust this retention period in your account settings for added flexibility.

Is Scribe only for blind and visually impaired people?

Scribe is designed to assist anyone with a print disability, not just those who are blind or visually impaired. A print-disabled person is defined as someone who cannot effectively read print due to visual, physical, perceptual, developmental, cognitive, or learning disabilities. Scribe ensures information is accessible to a broad range of users with diverse needs.

Does Scribe help people with dyslexia?

Yes, Scribe is beneficial for individuals with dyslexia. It offers formats like DAISY, EPUB, and audio, which help improve content accessibility. For example, the DAISY format allows users to listen to the document while following along in print. Scribe’s natural-sounding text-to-speech also provides an alternative way for individuals with dyslexia to access and understand written information.

What are Scribe’s limitations?

Scribe’s Augmented Document Remediation (ADR) technology transforms inaccessible documents into highly usable formats, but it has a few limitations:

  • Images without alt tag: Scribe adds automatic descriptions, which may be generic.
  • Multilingual documents: Language detection can be inaccurate, especially with mixed languages.
  • Uncommon formatting: May miss or misidentify headings and complex tables.
  • OCR on scans: Accuracy is around 96%.
  • Visual format: Scribe prioritizes accessibility over preserving fine visual details like margins or page breaks.

Despite these limitations, Scribe continually improves with machine learning. For perfect formatting, retain the original document. If needed, certified human remediation is available. Scribe’s mission is to ensure print-disabled individuals have full access to information.

Guidelines

We want to make sure this program remains available for teachers of the visually impaired. Therefore, let’s be clear about the program protections, in order to ensure this program stays focused and sustainable.

  • This program is not available for general education staff who are not directly serving visually impaired students
  • Parents or students are not meant to, nor are they required to register for this service. Instead, a TVI or related professional should register via the form.
  • This program is not available for higher education.
  • This program is not for commercial or organizational use by entities other than K-12 TVIs.
  • This is not a bulk remediation service for entire district archives.
  • Depending on the nature of your documents, there may be a few instances where human remediation becomes necessary. Scribe will offer this, however it is not included as a free offering the way automatic remediation is.
